📜 Admitly – Terms of Service

These Terms of Service ("Terms") are a legally binding agreement between you ("User," "you," or "your") and the Maxfort School, Rohini's Tech Club ("we," "us," "our") regarding the use of Admitly ("Admitly" or "the Platform"), an online contest submission and management platform.

By accessing or using Admitly, you agree to be bound by these Terms, including any policies referenced herein. If you do not agree, do not use the Platform.

Purpose of Admitly

Admitly is designed to:

  • Host, manage, and process submissions for school-organized contests.
  • Allow students to securely submit entries for evaluation.
  • Enable teachers and authorized judges to review and assess entries.
  • Maintain a secure archival record of all contest submissions for historical, reference, and dispute-resolution purposes.

Eligibility

  • You must be a current student of Maxfort School, Rohini or otherwise authorized by the Tech Club to participate.
  • Eligibility for specific contests may require meeting additional criteria stated in the contest rules.
  • Accounts and submissions may be denied or removed if:
    • Eligibility cannot be verified.
    • Rules are violated.
    • False or misleading information is provided.

Account Registration & Security

  • Some contests require account creation.
  • You are responsible for:
    • Keeping your username and password secure.
    • Ensuring your account is used only by you.
    • Immediately reporting any unauthorized use tosupport@admitly.dev.
  • We may disable accounts that are inactive for extended periods or are suspected of being compromised.

Submission Rules

All submissions must:

  • Comply with the official rules of the relevant contest.
  • Be original work, unless collaboration is explicitly permitted.
  • Not violate any laws or school policies.
  • Be submitted in the required file format before the deadline.

Late submissions are accepted only if approved by contest organizers.

⚠️ Submissions must not contain:

  • Offensive or discriminatory material.
  • Viruses, malware, or harmful code.
  • Unauthorized copyrighted material.

Alternate Submission Method

📧 If you cannot access the platform due to technical difficulties:

  • Email submissions@admitly.dev.
  • Include:
    • Full Name
    • Admission Number
    • Your submission file as an attachment.
  • Submit before the contest deadline unless otherwise approved.

We will process the submission manually and confirm receipt.

Archival of Submissions

  • All submissions are stored permanently in Admitly's database for archival purposes.
  • Archival serves to:
    • Preserve contest history.
    • Support dispute resolution.
    • Provide examples for training and educational purposes (with prior consent).
  • Access to archived submissions is strictly limited to:
    • Teachers in charge of the Technology Club.
    • Authorized contest judges.
  • Archived submissions are never shared publicly without explicit permission.

Support & Communication

  • For technical issues, contact support@admitly.dev.
  • Support requests must include:
    • A detailed description of the problem.
    • Any error messages.
    • Your name and admission number (if relevant).
  • Responses are generally provided during school hours.

Prohibited Conduct

🚫 You may not:

  • Use Admitly for any purpose unrelated to school contests.
  • Attempt to bypass platform security or gain unauthorized access.
  • Interfere with or disrupt platform operation.
  • Impersonate another user or submit entries on their behalf without consent.
  • Upload any file designed to damage systems or data.

Intellectual Property

  • You retain ownership of your submissions.
  • By submitting, you grant the school a non-exclusive, royalty-free, worldwide license to:
    • Store your work in the archive.
    • Display and judge it for the relevant contest.
    • Use anonymized excerpts for educational purposes (with your permission).
  • The Admitly software, UI, and design are the property of its developers and may not be copied without permission.

Data Storage, Security & Backups

  • All communications between users and the platform are encrypted.
  • Regular backups are performed to protect against data loss.
  • Access to sensitive data is role-based, meaning only specific staff and judges can view certain information.
  • We follow reasonable technical and organizational measures to protect your data, though no system is 100% secure.

Availability & Downtime

  • We aim for maximum uptime, but Admitly may be unavailable due to:
  • Maintenance.
    Technical faults.
    Internet outages beyond our control.
  • In such cases, the alternate submission method via email will be available.

Disclaimer

  • Admitly is provided "as is" without any warranties.
  • We are not responsible for:
    • Internet connectivity issues.
    • Browser incompatibility.
    • Missed deadlines caused by user device problems.

Limitation of Liability

  • Our liability for any claim is limited to the total amount paid to use the platform (currently zero for students).
  • We are not responsible for indirect or incidental damages.

Termination

  • We may suspend or terminate accounts for violations of these Terms.
  • Archived data may still be retained even if your account is closed.

Changes to Terms

  • We may revise these Terms at any time.
  • The updated version will be posted on the Admitly website and will take effect immediately unless stated otherwise.

Governing Law

These Terms are governed by the laws of Delhi, India. Disputes must first be addressed through school administration.
